Internal Support Administrative Assistant

 

Key Role and Responsibilities

The Internal Support Administrative Assistant position provides the Wipotec Technical Services Team with administrative help for a variety of activities within the department. The Administrative Assistant will complete work as directed for Service Managers, department functions, and serves as a department liaison between other Wipotec departments and for customers. The type of business processes can be responding to customer calls, e-mails, providing quotes, providing invoices, and gathering of service documentation. This position reports directly to the Internal Support Manager.

This position will involve someone with math / analytical aptitude and attention to details. The Administrative Assistant is responsible for supporting Internal Support technicians and Retrofit Team. This position will involve direct customer contact.

The selected candidate must be an excellent communicator in spoken and written English.

• Point of contact for Customers, Integrators and internal Wipotec teams for coordinating Retrofits and Upgrade documentation and billing services.

• Handle incoming calls & emails from customers, sales channels, project managers, technicians, and management team.

• Act as backup for team members; will be cross-trained.

• Invoicing the customers in a timely and accurate manner with best business practices.

• Customer follow-up to ensure their needs were met and answer any questions regarding billing and/or credits, as necessary.

• Maintains responsibility for retrofit inquiries, offers, quotes, order confirmations, invoicing and coordination of retrofit shipments. Additional responsibility may include being point of contact for customers taking initial support emails and calls from customers and distributing to Internal support technicians.

• Escalate issues to the Internal Support Manager when necessary

• Other duties as assigned. This list is not all-inclusive.

 

Skills and Required Qualifications

• High school diploma or GED

• A minimum of three years of solid administrative related work experience

College Degree; AA or BA in Business Administration, Accounting, or Finance role preferred; or a combination or work and education

• Minimum 3 years in administrator role

• Exceptional and Effective written and verbal English language communications

• High-Level Time Management

• Consistent professional attitude even under pressure

• Strong commitment to Customer Satisfaction at all times

• Proficient PC skills (MS OFFICE, in particular MS EXCEL at an intermediate level and MS OUTLOOK)

• Mathematical and accurate with calculations of fractions, decimals, ratios, and percentages

• Analytical with problem solving capability

• Must be comfortable tracking details and handling multiple priorities.

• Must be a self-starter, work well without supervision, and accept responsibility

• Excellent Inter-Departmental Communication with follow up

• Able to deal well with change and with occasional constructive feedback

Compensation
